May 30, 1996 13:41 from Feuerdrache A decision needs to be made regarding location for ICON for 1997-1999. We have contracts from the Westfield for all of those years if we want to sign them. 1997 and 1998 contracts have the same rate for function space as this year, 1999 leaves function space cost open for later negotiation. As has been the case in the past, the room rate goes up $2-4 per year over the three years. These contracts use Oct 10-12, 1997; Oct 16-18, 1998; and Oct 15-17, 1999 for the dates for ICON. The close of this vote will be June 12, a vote box will appear on the SFLIS desk between now and next Wednesday. For comparison's sake, the function space charge at the Holiday Inn is 50% more than the Westfield, with room rates also 50% more. The function space charge at the Highlander and the Ironmen would be double that of the Westfield, with room rates about 30% higher. Oh, I suppose I should mention, the vote is for the following options:
1) we should sign the contracts to be at the Westfield through 1999.
2) we should not sign the contracts to be at the Westfield through 1999.
Option 2 will require more study later.
May 30, 1996 21:32 from Feuerdrache the Westfield is a per head, using 400-450 for numbers. The others are fixed cost. It was decided at Wednesday's meeting that the current concom would start sending out letters based upon last year's vote (we didn't have a date set before two weeks ago for icon 22). If someone wants to add to the list of possibles from last year, pipe up and we can try to figure out where to fit them in. Since no group has piped up as desiring to do concom yet, we don't have a vote date planned. A vote will likely be three weeks after we first hear from a possible set of suckers. The first guest letter for icon 22 will be sent out after next Wednesday's meeting to give another shot at discussion on the subject.
